Privacy Policy
This policy explains what information the Superhero International Olympiad collects, why we collect it, and the safeguards around it — in plain language.
1. Introduction
The Superhero International Olympiad ("SIO", "we", "us", "our") respects the privacy of every student, parent, teacher, school and sponsor who interacts with this website or the Programme. This Privacy Policy describes the categories of personal information we collect, the purposes for which we use it, how we protect it, and the choices available to you. By using this website or registering for the Programme, you agree to the practices described here. This policy should be read together with the Terms & Conditions.
2. Information We Collect
- Student details: name, class/grade, school name and city, date of birth or age band, gender (optional), and exam-related preferences required to conduct the assessment.
- Parent/Guardian and school coordinator details: contact person's name, email address, phone number and correspondence address, used for consent, coordination and communication.
- Account & learning data: login credentials for the AI Dashboard (where applicable), practice activity, attempts, scores and analytics generated inside the dashboard.
- Payment metadata: payment confirmation references. We do not collect or store full card numbers or banking credentials — payments are processed by third-party payment gateways.
- Technical data: standard server logs such as IP address, browser type and pages visited, used for security and to improve the website.
- Voluntary information: anything you choose to share through contact forms, testimonials, sponsor enquiries or support emails.
3. How We Use Information
- Conducting registrations, examinations, evaluation and result publication.
- Issuing certificates, medals, scholarships and other rewards, and organising Superhero Fest.
- Providing and personalising the AI Dashboard — practice recommendations, performance analytics and readiness insights.
- Communicating schedule changes, exam instructions, results and programme announcements to registered participants, parents and coordinators.
- Administration, grievance handling, security, fraud prevention and compliance with applicable laws.
- Improving the Programme, its content and this website, including aggregated, de-identified analysis.
4. Consent of Minors & Parents
Because SIO serves school students, we take children's privacy seriously. Registrations of participants below 18 years require the consent of a parent or legal guardian, which may be collected directly or through the registering school acting with parental authorisation. Schools confirm that such consent has been obtained before submitting student details. If you believe a minor's data has been provided without proper consent, please contact us and we will address it promptly.
5. Sharing of Information
We share personal data only as needed to operate the Programme and only with parties bound by confidentiality obligations: (a) service providers — cloud infrastructure (including Google Cloud for AI Dashboard services), examination platform providers, payment gateways, logistics partners for reward delivery, and communication services; (b) schools — result and participation reports for their own students; (c) authorities — where disclosure is required by law, court order or governmental directive; and (d) within the Organiser group described in the Terms & Conditions for Programme administration. We never sell personal data.
6. Cookies & Analytics
This website uses essential cookies and equivalent technologies to keep sessions working (for example, maintaining login state and form security) and may use basic analytics to understand aggregate traffic patterns. These tools do not personally identify individual students to any third party for advertising. You can control cookies through your browser settings; blocking essential cookies may affect parts of the website and dashboard.
7. Data Security
We apply reasonable technical and organisational safeguards appropriate to the sensitivity of the data — including access controls, encryption in transit for forms and dashboards, restricted administrative access, and processing on reputable cloud infrastructure. No system can be guaranteed absolutely secure; accordingly, we also rely on participants and coordinators to keep passwords confidential and to report suspected misuse promptly to the support desk.
8. Data Retention
Registration, examination and result records are retained for as long as necessary to operate the Programme, publish and verify results, issue documents, handle grievances, and meet statutory, audit or accreditation requirements. Dashboard learning data is retained for the duration of the edition's preparation and result cycle. Data that is no longer required is deleted or de-identified in the ordinary course of business.
9. Your Rights & Choices
Subject to applicable law (including the Digital Personal Data Protection Act, 2023, where applicable), you may request access to, correction of, or erasure of personal data, or withdraw consent for non-essential processing, by writing to the support desk from the registered email address. We will respond within reasonable timelines. Please note that certain records — such as examination answer data, result records and payment confirmations — may be retained where required for the integrity of the Programme, legal compliance or dispute resolution. Requests made through schools will be coordinated with the school coordinator where the registration originated from a school.
10. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in the Programme, technology or law. The updated version will be posted on this page with a revised "Last updated" date. Continued use of the website or participation in the Programme after an update constitutes acceptance of the revised policy. Material changes affecting consented purposes will be communicated to registered participants or coordinators where reasonably practicable.
